NOTICE OF MEETING
ALBERTA TABLE TENNIS ASSOCIATION
ANNUAL GENERAL MEETING
FRIDAY, JANUARY 30, 2026
7:00PM

 

This meeting will be held entirely via Electronic Means (ZOOM).

All individual voting members of ATTA must register in advance in order to participate and vote in the Annual General Meeting. This is necessary to verify attendees and confirm the voting list for the meeting. Registration will be open until 12:00pm on January 27, 2026.

Dear Members,

Notice is hereby given that the Alberta Table Tennis Association (ATTA) will conduct its Annual General Meeting (AGM) of the members on Friday, January 30, 2026, beginning at 7:00pm MT.

The AGM will be a virtual meeting, held using the ZOOM platform and voting members must register in advance to participate in the virtual meeting.  To register, please info@attaabtt.com and please provide the following information:

• Full Name of Voting Member
• Club of Voting Member
• Email address of the Voting Member - note this email address will be used for voting purposes during the AGM and valid voting members will also receive a test voting email at this address prior to the AGM (January 29-30)

Registration for the AGM is open and will close on January 27, 2026 at 12:00pm MT. You must register prior to the deadline.

At this year’s AGM, an independent parliamentarian from Sport Law will be chairing the meeting and managing the voting for ATTA. Election voting will take place using the platform Simply Voting.  More details will be provided in advance of the meeting and the voting scrutineer will address any member questions at the meeting.

The proposed (tentative) agenda for the meeting will be:

1. Call to Order & Introductions
2. Confirmation of Quorum & Voting List
3. Approval of the Agenda
4. Approval of the Meeting Minutes from June 6, 2025
5. Reports:
   • President’s Report
   • Coaching Team Report
6. Presentation of Financial Statements
7. Appointment of Auditor
8. Elections:
   • President (2-year term)
   • Vice-President (1-year term)
   • Treasurer (2-year term)
   • Secretary (1-year term)
   • 5 Directors-at-Large:
     • 3 positions - 2-year term
     • 2 positions - 1-year term
9. Adjournment

RE-ELECTION OF BOARD OF DIRECTORS - CALL FOR NOMINATIONS

At the AGM in June, new Directors were elected to assist with the transition of the organization and those Directors were elected in accordance with the previous version of the ATTA By-laws.  As the new ATTA Bylaws (adopted by the members on June 6, 2025) have now been filed with and accepted by Alberta Societies, we now seek to align our Board positions with these new Bylaws. As a result, all current Board positions will be replaced by the newly elected positions as noted within the Agenda above.  Terms of these positions shall be staggered (either a 2-year or 1-year term) to ensure proper business continuity moving forward. 

Nominations for the positions above must be submitted at least 14 days prior to the AGM, therefore, the nomination submission deadline is January 16. Nominations must be submitted to info@attaabtt.com and must include the completed Nomination Form as attached.

Please also note the following:

• Candidates may self-nominate or be nominated by others; in either scenario they must agree to run for office and such agreement must be noted in the submission.
• To be eligible for election as a director, an individual must be at least 18 years of age, be a Member in good standing of ATTA, and not be an employee of ATTA.
• As per the new ATTA Bylaws, ‘Zone Councilor’ positions on the Board no longer exist and candidates from all zones are eligible; however, zones of the Director-at-Large candidates may be shared/noted to help inform member voting.
• Nominations from the floor will not be permitted unless there are any specific positions which do not already have a valid nomination.

Additional information for the AGM including the ZOOM link, voting instructions, and AGM documentation will be provided to registered attendees prior to the meeting.
